Ask anyone who has organised a company Christmas party and they will tell you the same thing: the venue is the easy bit. The hard bit is getting forty people to it and back without somebody driving after one drink too many. In Calgary, December adds snow, early darkness and a calendar where every other business has picked the same Friday.
The advice in this guide comes down to one habit. Book transport at the same time you book the venue, not afterwards.

Vehicles and drivers are finite. The popular Fridays and Saturdays in December go first, and once a date is gone, it is gone. If you want a specific day, we suggest locking in the transport roughly eight weeks ahead of it. That is not a magic rule, just a sensible cushion; the closer you leave it to the date, the fewer choices you have on vehicle size and pickup times.
Most of the planning comes back to how many people are coming. A small leadership dinner of six is a different job from a whole-office party, and the vehicle changes with it. A few quick questions help:
For a bigger group we usually look at our Ford Transit 350 or a mix of SUVs and sedans. The fleet page has the full list, and if you are not sure how many people a particular vehicle seats, ask us rather than guess.
One pickup, one drop-off. Everyone meets at the office, travels together, and leaves together. Simple, but it only works if people are happy to go at the same time.
Staggered returns. A few vehicles wait through the evening and leave as guests are ready. It takes more cars but suits an event where the keen dancers and the early-nighters finish at very different times.
Home pickups. Good for executives or smaller teams, though it takes more route planning.

This is the part where we would normally pitch you, but the honest answer is that the case makes itself. Your people get home safely, nobody has to nominate a sober driver, and the party does not end with someone circling a car park in the snow. For a team that works hard all year, that is a decent thank-you.
Corporate groups can read more about how we work on our corporate limo page. Planning a New Year’s party as well? We wrote a separate New Year’s Eve ride guide. When you are ready to lock in a date, send us your details.
We suggest about eight weeks before the date, especially if you want a Friday or Saturday.
The date, number of guests, pickup and drop-off locations, and whether guests leave together or at different times.
That can be arranged. Tell us how long the event runs and we will suggest whether to wait on site or return at a set time.
